VISA APPLICATION & VISA PACKAGE AGREEMENT

CLIENT SERVICE TERMS & CONDITIONS

This Agreement sets out the terms governing the visa advisory and processing services provided by RoutePal NG Limited (“RoutePal“). By signing this Agreement or making payment, the Client confirms that they have read, understood and accepted these Terms.

1. SCOPE OF SERVICES

RoutePal provides professional visa advisory and application support services, which may include:

Visa eligibility assessment
Visa consultation and travel advice
Document review and verification
Visa application preparation
Appointment booking (where available)
Visa application submission support
Supporting document preparation
Travel itinerary preparation
Flight and hotel reservations (where purchased)
Travel insurance
Interview preparation
Visa application tracking
Pre-departure guidance

The services provided shall depend on the visa package purchased by the Client.

2. ROUTEPAL’S RESPONSIBILITIES

RoutePal agrees to:

Provide professional advice with reasonable care and skill.
Review documents submitted by the Client.
Prepare visa applications accurately based on information provided by the Client.
Inform the Client of known visa requirements at the time of processing.
Keep the Client informed of significant updates relating to the application.
Maintain the confidentiality of the Client’s information.

3. CLIENT RESPONSIBILITIES

The Client agrees to:

Provide complete, truthful and genuine documents.
Disclose all previous visa refusals, deportations, overstays, criminal convictions, immigration violations or other material information relevant to the application.
Attend appointments, interviews and biometric enrolment when required.
Review all application forms before submission.
Pay all agreed fees on time.
Respond promptly to requests for additional documents or information.

The Client remains responsible for the accuracy of all information supplied.

4. PROFESSIONAL FEES

Professional Fees are payments for RoutePal’s expertise and services, including consultation, document review, application preparation, appointment booking and professional advisory services.

Professional Fees become earned once RoutePal commences processing.

Processing is deemed to have commenced when RoutePal undertakes any meaningful work, including:

eligibility assessment;
document review;
application preparation;
appointment booking;
preparation of supporting documents;
communication with embassies or third parties; or
any other agreed professional service.

Professional Fees are non-refundable once processing has commenced.

5. THIRD-PARTY CHARGES

Third-Party Charges may include:

Embassy Visa Fees
Visa Application Centre (VAC) Fees
Biometrics Fees
Medical Examination Fees
Police Clearance Fees
Travel Insurance
Courier Charges
Flight Tickets
Hotel Reservations
Conference / Event Registration Fee
Legalisation or Authentication Fees
Any other government or supplier charges

These charges are separate from RoutePal’s Professional Fees and are governed solely by the refund policies of the relevant provider.

6. REFUND POLICY

Consultation Fees are non-refundable once the consultation has been provided.
Professional Fees are non-refundable once processing has commenced.
Third-Party Charges shall only be refunded where the relevant provider authorises a refund.
Visa refusal, appointment cancellation, processing delays or requests for additional documents do not automatically entitle the Client to a refund where RoutePal has provided the agreed professional services.
In the event of visa refusal, the client is entitled to one (1) reapplication within the same visa service paid for. Transfer or change of country is not allowed except at the discretion of RoutePal NG

Unused third-party funds held by RoutePal shall be refunded after reconciliation where applicable.

7. IMPORTANT VISA CONDITIONS

The Client understands and agrees that:

RoutePal provides professional advisory and processing services only.
Visa approval or refusal is solely the decision of the Embassy, Consulate or Immigration Authority.
RoutePal cannot guarantee visa approval.
Processing times published by Embassies or Immigration Authorities are estimates and may change without notice.
Embassies may request additional documents, interviews or medical examinations at any stage of processing.
Visa Application Centres may change documentary requirements or appointment procedures without prior notice.
RoutePal has no control over Embassy decisions, administrative processing or security checks.

8. APPLICATIONS OUTSIDE COUNTRY OF NATIONALITY

Where the Client chooses to submit a visa application outside:

the Applicant’s country of nationality;
the country where supporting documents were issued; or
the Applicant’s country of residence,

the Client acknowledges that additional documentary requirements may apply.

RoutePal provides advice based on official guidance and professional experience available at the time of processing but cannot guarantee that supporting documents will be accepted by the receiving Embassy or Visa Application Centre.

The final decision rests solely with the receiving authority.

9. CHANGES TO APPLICATION

Where the Client requests any of the following after processing has commenced:

change of destination country;
change of visa category;
change of travel purpose;
withdrawal of the application; or
submission to another Embassy,

such request shall constitute a new engagement where substantial additional work is required.

Additional Professional Fees may apply.

10. CONFERENCE, GROUP & TRAVEL PACKAGES

Where RoutePal provides Conference, Group Travel or Special Visa Packages, such packages may include:

Visa Processing Services
Conference Registration
Flight Reservations
Hotel Accommodation
Travel Insurance
Airport Transfers
Other agreed travel services

Each component remains independent.

Refunds relating to Conference Registration, Flights, Hotels, Insurance or other supplier services shall be governed by the policies of the relevant provider.

11. LIMITATION OF RESPONSIBILITY

RoutePal shall exercise reasonable care and skill in providing its services.

However, RoutePal cannot guarantee:

Visa approval
Appointment availability
Faster processing
Travel authorisation
Entry into any country
Immigration clearance at the port of entry
Acceptance of supporting documents
Any decision made by an Embassy, Immigration Authority or Visa Application Centre

Nothing in this Agreement excludes any rights that cannot lawfully be excluded under Nigerian law.

12. COMPLAINTS & GOVERNING LAW

Any complaint concerning RoutePal’s services should first be submitted in writing.

The parties agree to make reasonable efforts to resolve disputes amicably before commencing legal proceedings.

This Agreement shall be governed by the laws of the Federal Republic of Nigeria.

CLIENT DECLARATION

I confirm that I understand and accept that:

☐ RoutePal provides professional visa advisory and processing services only.

☐ Visa approval is solely the decision of the relevant Embassy or Immigration Authority.

☐ Professional Fees become earned once RoutePal commences processing.

☐ Third-Party Charges are governed by the refund policies of the relevant providers.

☐ Visa refusal does not automatically entitle me to a refund where RoutePal has provided the agreed services.

☐ Where I submit my application outside my country of nationality or outside the country where my supporting documents were issued, additional documentary requirements may apply and RoutePal cannot guarantee acceptance of those documents.

☐ If I request a change of destination country, visa category or travel purpose after processing has commenced, a new engagement and additional Professional Fees may apply.

☐ I have reviewed these Terms, had the opportunity to ask questions and voluntarily agree to be bound by them.
